Most of our outdoor fairs are advertised 'weather permitting'.
We rarely if ever cancel an event in advance based on a weather forecast.
On those days when the weather is uncertain it is up to individual vendors and shoppers to decide for themselves if they wish to attend.
In fact, some of the most successful days for vendors are on days when the weather is not ideal.
Also, when the weather is iffy shoppers may have the opportunity to make some great buys because some vendors may be anxious to make sales.
For the most pinpoint weather forecasts, we recommend weather.com
You can direct your search to any specific town on their website.
This way you will get a more reliable idea of what to expect for the specific fair you are concerned about, rather than just a general regional forecast.
We do not send emails or make phone calls or publish details on the day of the fair if the event is cancelled because we are at the site without our computers.
On the morning of the fair vendors and shoppers may call 516-442-6000 for the status any time after 7 am.
Regardless of the weather forecast, our full advertising and marketing programs are always in effect and our staff is always on hand the morning of each show to greet and assist vendors.
On bad weather days everybody loses.
We will not receive credits or refunds for the fixed expenses we have spent on advertising, staffing, insurance, rent, etc regardless of the weather.
VENDOR RENTAL REFUNDS AND VENDOR RENTAL CREDITS
A vendor rental refund is Nassau County Fairs giving a vendor back money in the form of cash or a check or a refund to a vendor's credit card or debit card.
As a rule, we do not offer vendor rental refunds.
An exception to this rule is when a vendor's application has been rejected.
In this case a full refund will be issued.
A vendor rental credit is Nassau County Fairs setting aside a specific dollar amount in our bookkeeping system that a vendor may use as payment towards a future show.
When a Fair provides for a 'rain date' all vendors who paid for the original date will be welcome to participate on the rain date for no additional fee.
Vendors who do not participate in the rain date will receive an account credit as described below.
When a Fair provides for a 'rain date' no refunds or credits will be issued if the rain date is cancelled for weather related reasons.
If an event with no rain date is postponed, cancelled or date changed for non-weather-related reasons, we always offer a credit that may be applied to any future show(s) for the current and following year.
All vendors will receive a $25 account credit if a one-day show with no rain date is cancelled for weather related reasons.
If a 2-day show with no rain date is scheduled and we cancel either day for weather related reasons, we will issue a $35 vendor rental credit to vendors who have paid in advance for both days or a $25 vendor rental credit to vendors who have paid in advance for only one day.
If a two-day Saturday & Sunday show is scheduled and we cancel Saturday for weather related reasons, vendors who have paid in advance for Saturday may attend for free on Sunday.
If an event has been cancelled it is not necessary for a vendor to attend in order to receive a credit.
If an event has not been cancelled, we do not issue a refund or credit to vendors who did not attend.
Vendors given limited or no competition do not qualify for a refund or credit.
With the exception of those vendors given limited or no competition, if a vendor has a change of circumstances, we will gladly switch dates or offer a vendor rental credit with no additional fee if we are notified up to one week prior to the event.
CANCELLATIONS
1. Weather related cancellations. The decision to cancel an event for weather related reasons is almost always made on the morning of the show.
2. Non-weather-related cancellations. The decision to cancel an event for non-weather-related reasons is almost always made prior to the day of the show. Since some of our shows are produced by our hosting partners, we do not always have control over cancellation decisions.
Bottom Line
If you are not going to be happy if you prepay for a Fair that ends up rained out knowing you may not receive a full refund or credit, then we suggest you wait until the last minute to attempt to rent space, even if it's the morning of the Fair.
However, please understand that there is no guarantee that space will be available at the last minute because we rent space until we are sold out.
Although it might appear that we are in a landlord-tenant relationship, we feel that we are partners and our job is to produce fairs that have a good chance of being well attended because they are in good locations that are well advertised and staffed.
We hope our vendors can understand that we are in this together and we must both be willing to take the bad with the good on any given day.
We hope that the information appearing on this page has given you a greater understanding of the inner workings of producing outdoor fairs.
We look forward to working with you!
Thanks
