FREE VENDOR RENTAL OPPORTUNITIES FOR CHARITIES
Nassau County Fairs is a unique for-profit company.
Our charitable and nonprofit associates have provided us with an unprecedented number of quality locations that have ever been given to any one company on Long Island.
In order for us to be able to make the necessary donations to our associates we must use these locations wisely and efficiently.
Nassau County Fairs and its vendors must be profitable.
It takes a lot of money to market and promote every one of our fairs so that as many people as possible are aware of and attend the events throughout the year.
To that end we currently charge a rental rate to all of our vendors that is well below the industry average.
So, because we are already donating to the charities and nonprofits of our choice, we cannot offer free space to other organizations that wish to participate as vendors.
Of course, there are always exceptions.
By our standards, a charity does not have paid employees.
A charity is run excusively by volunteers.
Charitable organizations are welcome to email us their request for free space shop@nassaucountyfairs.com.
If we can accommodate the request here are the requirements:
No items are offered for sale.
No donations are solicited or accepted.
No election politicking.
Must be in office as we do not allow running candidates to have a booth.
Your booth is open for all advertised hours.
The free space is limited to literature and signage to create awareness, education, and involvement for the organization.
You must comply with all vendor set up and break down requirements.
Under no circumstances are individuals or groups permitted to distribute literature without our express permission.

VENDOR SET UP DETAILS & INSTRUCTIONS
You must check in before setting up.
You might be relocated if you do not check in.
Vendor spaces are 10x10.
There are two separate areas where vendors set up:
1. On Merrick Avenue between Sunrise Highway and Broadcast Plaza.
Check in for vendors setting up between Sunrise and Broadcast Plaza starts at approximately 7am, when Merrick Avenue has been closed off by public safety officials.
Management will be on Merrick Avenue at the intersection of Broadcast Plaza from 7am to check in vendors.
In most cases we do not pre-assign vendor spaces.
Space is assigned when you arrive based on availibility and your acceptance of the space.
Vendors arriving to set up after 9:30 will not be permitted to drive onto Merrick Avenue and should be prepared to carry or wheel their items to their space.
Vendors should park in the LIRR parking lot and carry or wheel a table or canopy with you when you check in with management and you will then be directed to your space.
You may leave your table or canopy on the sidewalk directly behind your s pace until the avenue is closed to vehicular traffic and bring your other items from your car and place them on the sidewalk directly behind your space.
Unload as quickly as possible before setting up your display and park in any legal space off Merrick Avenue..
At the risk of being towed, do not leave your vehicle parked in the LIRR lot.
There is ample free parking in the Municipal lot just off Broadcast Plaza 100' west of Merrick Avenue.
Toward the end of the day all vendors must begin to break down their displays in time to be off Merrick Avenue no later than 6pm.
You may place your tent, tables, and all other items on the sidewalk directly behind your space and then drive your vehicle to your space when permitted by management and or public safety officials.

On windy days for public safety vendors setting up a portable tent must have at least 18lbs of weight on each leg of the tent.
Vendors who sell quality items that are displayed on a bare table only diminish their look and lower the overall appearance of the Market.
For your own good we strongly recommend covering your tables with a quality material.
Trade show top quality 6' fitted floor length black machine washable table covers are sold by show management for $20 while supplies last.
Vendors are responsible for removing any and all garbage, debris, boxes, etc. from their space and taking them away from the Fair grounds.
